When You Can’t Prioritise

Everything Feels Like a Priority

Now there’s a moment I’ve found myself in more times than I’d like to admit…

You open your laptop.
Your inbox is full.
Your to-do list is longer than it was yesterday and before you’ve even started, you already feel behind.

Overwhelmed. Slightly anxious. Unsure where to begin.

You tell yourself, ‘I just need to get through today.’

But deep down, you know it’s not just today. It’s become a pattern.

It’s Not About Time… It’s About Control

For a long time, I thought managing time was about being more efficient. Working faster. Getting more done.

But what I’ve learned, through experience, through trial and error, and through supporting others, is that it’s not really about time at all.

It’s about control.

It’s about waking up and knowing: What matters most? What can wait? What doesn’t need to be on your plate at all?

Because when I have that clarity, something shifts.

I can breathe.
I feel calmer.
More focused.

And suddenly, the day feels manageable again. I can feel joy start to trickle back in…

The Reset (Again… and Again)

I’ll be honest, I don’t get this right all the time.

I’ve gone through plenty of ups and downs with managing my time. There are periods where everything feels in flow… and then slowly, things creep back in.

An overcrowded inbox.
Saying yes to too much.
Trying to support everyone, do everything, be everything.

And before I know it, I’m back in that familiar place – overwhelmed, reactive, stretched too thin. But now, I recognise it for what it is.

A signal.

Not a failure. Not a sign I’m not good enough. Just a reminder that I need to reset.

So I stop.

I clear my inbox.
I write a fresh list.
I get really honest about what actually matters, and in what order.

And then comes the harder part:
What do I need to say no to?

Because saying no doesn’t make you difficult. It doesn’t make you a failure.

It means you’re aware.
It means you’re in control.

(Sometimes I just chant this in my head over and over, if nothing else that seems to help!)

When Something Simple Changes Everything

In one of my previous roles in sales, I started putting these small changes into practice. Nothing groundbreaking or complicated. Just simple, structured ways of approaching the day.

And the difference?

Incredible.

Not just in productivity, but in mindset. In confidence. In how the day felt.

That’s when I realised, this wasn’t just something that worked for me. This could help others too. So I built a session and shared it with colleagues across the business.

And I’ll never forget the feedback.

People felt lighter.
More in control.
More confident about how to approach their day.

It wasn’t about doing more, it was about doing what mattered, in a way that felt manageable.

And that shift? It changes everything.

A Moment That Stuck With Me

Later, in a leadership role, this became something I prioritised with my team and one person in particular stands out. He was struggling. You could see it.

Every day felt like too much. He was visibly overwhelmed, stressed to the point it was starting to show physically, having to take time off. Clearly not himself.

At first glance, it looked like too much work. But when we sat down and really looked at it together, something interesting came out.

Yes, there was a lot to do. But it wasn’t unrealistic.

What was missing… was structure. So we simplified it.

We created a clear, manageable list:

  • what had to be done
  • what could wait
  • what wasn’t actually a priority at all

Then we broke it down across the week, nothing complicated. Just clarity.

We checked in every Monday, adjusted where needed. Built consistency.

And slowly, things changed.

The stress lifted.
The overwhelm reduced.
His confidence came back.

It was like watching someone breathe again after holding it in for too long.

And what struck me most? Everyone else noticed too. Soon, others were asking for the same support. The same structure. The same clarity.

And just like that, something simple became something transformational across the team.

Why This Matters at Work

In the corporate world, we often talk about performance, productivity, targets.

But we don’t always talk about what sits underneath that.

The pressure.
The overwhelm.
The mental load of trying to keep up with everything.

And the truth is – when people feel out of control of their time, everything else suffers.

Focus drops.
Confidence dips.
Stress increases.

But when people feel in control? They show up differently, in my experience.

More present.
More productive.
More engaged.

More themselves. Which, let’s face it should be the norm.

It’s Not a Quick Fix. It’s a Practice

Managing time isn’t a one-step solution. It’s something you come back to. Practice. Reset.

Again and again.

Because work changes. Life changes. Demands shift.

But having the tools, simple, practical, realistic tools – makes all the difference in how you respond to that change.

And that’s why this matters so much to me. Because I’ve seen the impact first-hand, on myself, on individuals, on entire teams.

A Different Way Forward

If any of this feels familiar, the overwhelm, the pressure, the constant feeling of being ‘on’, you’re not alone.

And more importantly, it doesn’t have to stay that way.

Sometimes, it just takes a step back. A reset. A different way of approaching the same workload.

That’s exactly what we focus on in the Managing Time course at HappyMind.

Not complicated systems. Not unrealistic expectations.

Just practical, human ways to help people feel more in control of their time and in turn, their work and wellbeing.

A Final Thought

So next time you open your laptop and feel that familiar wave of overwhelm…

Pause.

Ask yourself:

  • What actually matters today?
  • What can wait?
  • And what might I need to let go of?

Because sometimes, the smallest changes create the biggest shifts.

And giving yourself permission to reset?

That might be the most powerful place to start. 💛
